Privacy policy

This policy explains which data Nadein Systems receives through the contact form, Telegram bot, and email, why it is needed, and how long it is retained.

1. Data we process

The contact form and Telegram bot ask for your name, reply details, and a description of the project. For email enquiries, we process the sender name and address, subject, message text, and attachment file names. Attachment contents are not copied into the enquiry system. Telegram also provides a technical account identifier and, where available, a username. Server logs may temporarily retain technical request data for security and troubleshooting.

2. Why we use this data

We use this data to review the enquiry, contact the sender, and prepare a response. Contact details are not added to bulk mailing lists or sold to third parties.

3. Basis for processing

Before submitting the form, the user consents to data processing. In the Telegram bot, consent is confirmed using a separate button before submission. By emailing the contact address, the sender provides the information in that message for the purpose of reviewing the enquiry and preparing a response. Please do not include medical information, trade secrets, or other sensitive information.

4. Retention and security

Enquiries are stored in a protected database for as long as they are needed to respond and continue working with the client. Access is restricted. Data is deleted when it is no longer required or following a justified request from the sender.

5. Service providers

To ensure an enquiry is not missed, its contents may be forwarded to an internal Telegram chat. Incoming email is received by the Nadein Systems mail gateway and passed to the same enquiry system used by the form and Telegram bot. Data is otherwise shared only where there is a lawful basis to do so.

6. Your rights

You may request information about your enquiry, ask for corrections, or request deletion. To locate the enquiry, please provide the contact detail used and the approximate submission date.
